Summary:
The collections clerk plays a vital role in the accounting functions of an organization by communicating with customers and procuring payments from customers who have delinquent accounts.
They must maintain accurate records of customer accounts receivable and provide detailed account information to customers.
Additionally, they provide support to the rest of the accounts receivable department, sales, customer service, and purchasing regarding customer accounts.
Responsibilities:
Communicate with customers with delinquent accounts in a timely and accurate manner.
Communication types will involve both E-mail and telephone.
Communication must be clear, accurate, and professional.
Maintain records of all collection efforts.
Readily provide records to manager or sales representative upon request.
Investigate and resolve disputes quickly.
Provide requested documents and information to customers and internal contacts including statement of accounts, invoices, credit memos, payment application details, and records of collection attempts.
Maintain accurate records for cash receipts.
This will include reviewing incoming deposits daily and correcting any issues promptly.
Collect and process payments made via credit card timely.
Must follow all policies for collecting and storing information securely.
Prepare accounts receivable records for specific deadlines (i.
e.
Month end).
Maintain customer records regarding updated names, address, and contacts.
Alert management immediately of any concerns that a customer may be unable to pay or has invoked legal protections (bankruptcy).
Send statements to all customers monthly.
Create new customer acceptance letters and mail and scan them into customer files.
Other duties as assigned by management or required.
Qualifications:
High School diploma or equivalent Associate degree in accounting or at least 1 year of collections experience.
Knowledge of Microsoft products including Excel, Word, and Outlook Outstanding verbal and written communication skills, organizational skills, and time management skills Ability to problem solve and troubleshoot through customer issues.
Estimated Salary: $20 to $28 per hour based on qualifications.
